  How can I tell if our business processes can be improved?

Any where there is a manual process, anywhere that errors can occur, anywhere that workers need to seek out information and do something with it, and anywhere that verification and reconciliation take place are some of the best candidates for improvement.  Often, however, it is not easy to spot from the inside.  It's kind of like driving your car; it seems fine but only a skilled professional can determine if it is running at its best.  The alternative is to wait for a breakdown.

  We did a huge project to map and document all our business processes; isn't that enough?

In a word, NO!  It is certainly important to map and document all business processes.  This is also one of the best ways to spot problems and opportunities in the workflow.  It will not, however, lead to process and workflow optimization.  What's more, one of the most common mistakes is not designing a sound process to ensure that the documentation and mapping are kept current and actually reflect the real tasks that the workers actually do when left to their work.

  Should we use our email system and a collaboration portal to become more productive?

Be careful.  First, email is not workflow.  While email, just like the telephone, plays a vital role in designing optimal process and workflow, it is the process that creates productivity, not the medium.  Regarding "collaboration portals", there are numerous tools available that claim to deliver collaboration to your workplace.  Unfortunately, most of them are little more than "chat rooms" behind a front-end.  Again, the only way to truly optimize productivity and efficiency is to first analyze the business and its processes and workflows.  Only then can one hope to apply innovation and technology properly to achieve maximum results.
